Do not judge a Japanese job offer by the headline salary or the congratulatory notice alone. Before accepting, find the document that actually states your working conditions and check the contract term, workplace and duties, their future change range, working hours, overtime, holidays, wages, fixed overtime, payroll timing, probation, renewal rules and resignation conditions. Since April 2024, employers must clarify the possible range of changes to workplace and duties when concluding or renewing a labor contract, and fixed-term contracts require additional information such as renewal limits where applicable. If anything important is missing or differs from the advertisement or interview, ask for written clarification and keep the final version.

Know Which Document You Are Reading

A Japanese hiring package can contain several different documents. An 内定通知書 may simply tell you that the company has selected you, while the 労働条件通知書 or an employment contract contains the working conditions you need to evaluate before accepting.

Some employers combine the contract and working-conditions notice in one document. Others send separate documents and refer to the company’s 就業規則 for detailed rules. Do not assume a short offer notice contains the complete employment package.

  • 内定通知書: notice that the company intends to hire you.
  • 労働条件通知書: notice of working conditions.
  • 雇用契約書: employment contract or agreement.
  • 就業規則: workplace rules that may govern attendance, leave, transfers, discipline and resignation.

Check the Contract Term and Renewal Rules First

Look for 契約期間 and confirm whether the job is indefinite-term or fixed-term. For a fixed-term offer, write down the start date, end date, renewal criteria and any renewal limit.

Current rules require employers to state whether a fixed-term contract has a renewal upper limit and, when the right to apply for conversion to an indefinite-term contract arises, to clarify the opportunity to apply and the post-conversion working conditions. A renewal possibility is not the same as a guaranteed renewal.

Read the Workplace and Duties — Including the Future Change Range

Since April 2024, the working-conditions notice must show not only the workplace and duties immediately after hiring but also the possible 変更の範囲, meaning the range in which the workplace or duties may change during the employment relationship.

This matters if the interview emphasized one Tokyo office, a specialist role or remote work. A document that permits work at all domestic offices or all duties designated by the company is materially broader than a narrowly defined role.

  • Confirm whether remote or hybrid work is contractual, policy-based or merely current practice.

Check Working Hours as a System, Not Just 9-to-5

Find the start and end times, break, holidays, overtime status and the working-time system that applies. A simple 9:00–18:00 line does not tell you whether there are shifts, variable working hours, flextime, early meetings or late handovers.

If the offer uses シフト制, 変形労働時間制, フレックスタイム制 or another special system, ask for a realistic example. Also ask how working time is recorded and how overtime is approved.

  • 始業・終業 — start and finish times.
  • 休憩時間 — break time.
  • 所定時間外労働 — whether overtime may occur.
  • 休日 — regular and non-regular days off.
  • Ask for the earliest start, latest finish and typical monthly overtime for the actual team.

Break the Salary Into Base Pay, Allowances and Fixed Overtime

Do not treat a single monthly number as sufficient. Separate 基本給 from commuting, position, housing, qualification, shift and other allowances. Then check whether any amount is fixed overtime pay.

When fixed overtime is used in recruitment information, official guidance requires the employer to identify the base salary excluding the fixed overtime amount, the number of hours and amount or calculation method covered by the fixed payment, and that additional premium wages will be paid when covered work exceeds the fixed amount.

  • 基本給 — base salary.
  • 固定残業代 / みなし残業代 — fixed overtime payment.
  • Check the covered number of hours and yen amount.
  • Confirm additional payment for overtime, legal-holiday work or late-night work beyond the covered fixed amount.
  • Ask how actual hours are recorded even when fixed overtime pay applies.

Check Payroll Timing, Bonuses and Raises

Find the payroll closing date and payment date. The first salary can arrive later than expected depending on the company’s closing cycle, so ask HR to give an example using your actual planned start date.

A bonus or raise system does not guarantee a particular amount. If an annual-income figure includes bonus assumptions, check what portion is guaranteed and whether a new employee qualifies for the first bonus cycle.

Read Probation Conditions Separately

Look for 試用期間 and confirm the length, wage, allowances, hours, benefits and evaluation criteria. If any condition changes after probation, both sets of conditions should be clear before you accept.

Do not rely on a verbal promise that the salary will rise after probation. Ask for the amount, timing and condition in writing.

  • Whether the probation period can be extended and on what basis.

Check Holidays, Leave, Insurance and Employee-Paid Costs

Review the actual days-off system rather than relying on a slogan such as 'two days off per week.' For shift work, ask how many annual days off are expected and when schedules are released.

Check the stated social-insurance arrangements and any employee-paid costs for uniforms, tools, housing, training, parking or relocation. If the employer says money must be repaid when you leave early, request the written rule before accepting.

  • Weekly or monthly holidays and annual days off.
  • Annual paid leave and special leave.
  • Health insurance, employees’ pension, employment insurance and workers’ compensation arrangements.
  • Uniform, equipment, housing or training costs charged to the employee.

Read Resignation, Dismissal and End-of-Contract Rules

Find the section on 退職に関する事項 and distinguish resignation, fixed-term expiry, non-renewal and dismissal. The conditions notice may also refer to the company’s work rules for detailed procedures.

Before resigning from your current job, moving house or making another costly commitment, confirm the start date and whether any conditions remain, such as references, medical checks, immigration procedures or final internal approval.

  • 自己都合退職 — employee-initiated resignation.
  • 契約期間満了 — fixed-term contract expiry.
  • 雇止め — non-renewal of a fixed-term contract.
  • 解雇 — employer-initiated dismissal.

Compare the Final Offer With the Advertisement and Interview

Save the original job advertisement, recruiter messages, interview notes, offer notice, conditions notice and final contract. Compare the same points across all versions.

If a material condition changed, ask the employer to identify the change and reason before you accept. Do not edit the employer’s document yourself; ask for a corrected final version.

  • Job title, duties and reassignment range.
  • Base salary, allowances, fixed overtime and bonus assumptions.

Questions to Ask Before Accepting

A concise written clarification request is normal and safer than relying on memory. Ask only the questions that matter to your offer, but make them specific.

For example, instead of asking 'Please explain the salary,' ask what the base salary is, whether a fixed overtime allowance is included, how many hours it covers, and what happens beyond those hours.

  • Is the monthly salary shown before or after fixed overtime pay?
  • How many hours does the fixed allowance cover, and what yen amount is assigned to it?
  • What are the possible future workplace and duty ranges?

Warning Signs and Where to Ask for Help

Treat blank or contradictory fields as unresolved, not as details you can safely assume. Pressure to sign immediately while material conditions remain unclear is a reason to slow down and request written answers.

  • Only a verbal offer is provided.
  • Contract term, salary, workplace or hours contain blank fields.

  • A fixed-term contract does not explain renewal criteria or an applicable renewal limit.
  • The final document is much broader than the promised workplace or duties.
  • Important probation conditions exist only in conversation.
  • The company will not explain how to review the applicable work rules.

FAQ

Is an 内定通知書 the same as an employment contract?

Not necessarily. It may only announce the offer. Check whether the working conditions are fully stated there or in a separate 労働条件通知書 or employment contract.

Can I ask for the conditions in English?

Yes, you can ask for an explanation or translated version, but confirm which document governs the employment relationship and make sure the translated explanation matches the Japanese conditions.

Does 'bonus available' guarantee a bonus?

No. Check eligibility, calculation method, assessment period, timing and whether payment depends on company or individual performance.

Does fixed overtime pay mean I must work all included hours?
