How to Renew Your Visa in Japan: 2026 Extension Guide, Documents, Fees & Deadlines

In everyday English, people often say “visa renewal,” but if you are already living in Japan and want to continue under the same status of residence, the official procedure is an extension of your period of stay. This is different from the visa that may have been used to enter Japan.

Do not use an extension application when your main activity is changing to a different status category. For example, moving from Student to a work-related status normally requires a change of status of residence rather than a simple extension.

• Same status and same general permitted activity: check the extension procedure.
• Main activity is changing: check the change-of-status procedure.
• Permanent residents do not renew a period of stay, although their residence card may have its own validity procedure.
• Temporary Visitor cases follow different rules; do not assume normal resident renewal rules apply.

The application must be submitted before the expiration date of your current period of stay. If you have been granted a period of stay of six months or longer, the Immigration Services Agency generally accepts an extension application from about three months before the expiration date. In special circumstances such as hospitalization or a long business trip, earlier filing may be accepted.

Do not plan to submit online on the last day. The Immigration Services Agency states that the online system cannot accept an application on the final day of your authorized stay; if you reach that day without filing, you must use the appropriate immigration office procedure.

There is no single document list that fits every renewal. The Immigration Services Agency publishes different requirements for work-related, student, dependent, spouse, long-term resident and other statuses. Use the list for your exact current status and circumstances.

Typical materials can include the application form, passport, residence card, photo, employment or school documents, income or tax evidence, family documents, and status-specific supporting records. Whether a particular item is required depends on the status and the applicant’s situation, so do not copy another person’s checklist without checking the official page.

• Use current official forms rather than an old saved PDF.
• Match names, dates, employer or school details and addresses across documents.
• Prepare translations when the official instructions require or the evidence cannot otherwise be evaluated.
• If circumstances changed since the last permission, explain them accurately rather than hiding the change.

As of August 2026, an approved extension costs ¥6,000 when the application was filed at the counter and ¥5,500 when it was filed online. The fee is paid when permission is granted, using the method specified by immigration.

The official standard processing period for an extension is two weeks to one month, but actual time varies by status, season, office, workload and whether extra documents are needed. The Immigration Services Agency also publishes recent average processing data, which can be more useful than treating the standard period as a guaranteed deadline.

• A request for extra evidence can extend the practical timeline.
• Avoid booking non-refundable plans around an assumed approval date.

When your extension is approved, check the new period of stay, status of residence, work restrictions and other details on the newly issued residence card before you leave the counter or complete the delivery process. If something appears wrong, ask the issuing office how to correct it.

Since June 14, 2026, Japan has introduced new residence-card formats, including the option of a specified residence card linked with My Number Card functions. Card appearance and displayed items may differ from older cards, so use current official guidance when checking the card.

• Confirm the new expiration date.
• Confirm the status of residence and any work-restriction notation.
• Store the old and new application records securely.
• If you use related My Number Card functions, check whether any separate update is required for your situation.

If you properly applied for an extension or change of status before your current period of stay expired and no decision has been made by the expiration date, the special-period rule can allow you to remain in Japan under your previous status until a decision is made or until two months after the original expiration date, whichever comes first.

During that special period, you can continue the activities permitted by your previous status. For an in-person application, the back of the residence card normally shows that an application is pending; online applications do not use that same handwritten or stamped notation, so keep the online acceptance information available.

• Keep proof that the application was accepted.
• If your situation is unusual or your status has already expired without a timely filing, seek individualized guidance immediately.

A pending extension does not create new work rights. Continue only activities that your existing status and any existing permissions allow. If your job, school, spouse relationship or other basis for residence has materially changed, check whether a notification, change-of-status application or additional evidence is required.

International travel while an application is pending can create practical complications around re-entry, document collection and communication from immigration. Before leaving Japan, confirm that you have the correct passport, residence card and re-entry permission arrangement for your case, and do not assume that a pending renewal by itself solves re-entry requirements.

A rule change took effect on June 14, 2026. Residence cards issued from that date use a new format, and a face photo is displayed for people aged one or older. Before the change, people under 16 generally had different photo rules.

This matters for families filing renewals for children. If a new residence card will be issued for a child aged one or older, use the current Immigration Services Agency photo requirements and online-upload instructions rather than an older checklist saved before June 2026.
